How can we rename “NSF” or “VOID” transactions?
The labels used for NSF and Void can be customized in Setup, Database Settings, Accounting Access tab. The user making the changes must have /Admin in their user setup in System Security.

Can I turn off tenant related event reminders such as Lease Expirations, Move In, Move Out?  In Setup, User Settings, General tab you can mark the Event Reminder checkboxes for those you do not want to see.

How can we create a report that has all of the unit notes for the year? Go to Reports, Profile Reports. Choose one of the tickler reports. Click <Options>. For Event Activity select Notes and Save. Click <Run Highlighted Report>. Select the date range and set the Restrict to. Click <Preview>.


How can we determine the details of the receivables amount shown in the General Ledger (GL) History? Receivables are unpaid charges.  Double click in the Receivables box in GL History to get a list of the outstanding charges OR click Tenant Reports and use the Tenant Unpaid Charges restricted to the ledger (owner/property). The report will include unpaid charges due to the management group as well as to the ledger.

How can we take a management fee when the unit is vacant? Click Setup, Management fee, Edit the management fee profile. Enter the fixed amount or the percent of the market rent you want to take. Market rent is the rent specified in the unit profile. Each month go to <<AR, Scheduled Receivables>>. Mark the radio button for Mgmt Fee NOT on Tenant Payment. Compile and Post.

New Service
PROMAS support is now offering bank reconciliation services. A clean, correctly done bank statement reconciliation is one of the prime factors in the ability to pass a state audit with flying colors. It is also the best way to prevent employee theft, fraud, or errors. The first step in the process will be having us do an audit review (see above - $275). Based on the findings we will provide a quote for doing the monthly bank reconciliations.

Demo Database
The current release – 2016.3 – includes a demo database that can be used for training new employees, getting familiar with functions you are not currently using, and checking that a transaction gets the desired result. 
To access the demo database, double click on the Version 12 label on the lower left of the logon screen. Run Demo and Reset Demo will display. Run Demo will open the database while Reset Demo will initialize the database for the current month and then open it. This is a temporary access method. The next beta will have the new method.

There are several new training videos on the website. Click on User Access which puts you on the Support page. Then click on Training. There are new videos on Help; Backup and Restore; GL Histories; AR Histories; AP Histories; Charge Tenant; Invoices-enter and pay.

Charging Pro-rated Rent
When the tenant moves in mid-month, many managers take the first full month’s rent at move in and the pro-rated amount on the first of next month. If this is the case you can either charge the tenant the pro-rated amount using the charge tenant function or you can put in a one-time recurring charge for rent in the tenant profile, recurring charges tab.
The advantage of using the recurring charge is that the charge will not appear on the tenant receipt screen until it is due.
