Unscheduled Administrative Closing
 
Due to the possibility of a protest in The Health Science Center Park, the University was administratively closed effective Friday, July 15 at 4:00 pm until Saturday, July 16, at 12:00 am.  According to UT policy #HR0320, Days of Administrative Closing, regular employees on the active payroll scheduled to work during the declared times of closing will be granted time off from work with pay. 
 
During the time that the Health Science Center campus was officially closed, essential services were or may have been continued.  These activities, according to UTHSC Personnel Procedure #320, Administrative Closing and Inclement Weather, include those services that maintain the campus environment, ensure its safety, and provide patient services, as well as those that maintain and operate critical research operations.  In addition to services provided by Campus Police, any other personnel that were required to provide essential services as outlined above during the administrative closing will be compensated according to the provisions specified in UT Policy #HR0350, Holidays.  This policy states that pay for hours worked by a non-exempt employee shall be made at the employee’s current rate of pay (straight time) for the number of hours worked plus hours of administrative closing that fell during their assigned shift. 
 
Additionally, employees who were on annual, sick, or any other leave with pay during the declared times of closing will receive administrative closing hours in lieu of charging the time to personal leave. 
 
On the time sheets, leave related to the closing should be coded as “UAC” plus shift 1, 2, or 3, which is “Unscheduled Administrative Close”.
 
Any questions concerning the reporting/recording of administrative leave should be directed to the Payroll Office at 448-3401.
FY 2016 Processing Deadline Dates

Due to fiscal year end processing, please adhere to the following deadlines:

July 22 - Accounts Payable invoices (received after July 12) outstanding for goods or services received on or before June 30 and accrual information pertaining to Business Contracts for accounts receivable and accounts payable invoices (received after July 8) for goods and services received on or before June 30.
