President's Update 
        

Happy New Year or should I say, Hopeful New Year? I hope you all had time to relax and spend quality time with your small bubble over the holidays. I know it felt very different in our home, but we had an opportunity to try new "things" and start new traditions going forward. 

And speaking  of new "things" and traditions, review and reflection has also presented an opportunity for the MRSA to consider a new direction in our business model. With the Governance Committee working extremely hard on assessing and amending the Constitution over the last two years, it's become very apparent that our Association has some barriers to expediting our business operations. The main issue of concern is our definition of "quorum" in Article 22 for amendments to our Constitution, which currently requires 50% of our membership to cast ballots for a vote. 

Now that we have approximately 170 casual staff (many of whom are students) under the fold of our membership, quorum is looking very difficult to attain and we would like to present a new membership model to you for consideration at our Coffee Chat on January 27. Given that the proposed membership model has now become a priority for our Executive Board, the previously scheduled meeting to discuss amendments to our Constitution will be rescheduled for a later date. We hope you will attend this very important discussion.

As of December 31, we formally ended our Memo of Understanding with the university for COVID furloughs and work schedule reductions. This means the 31 staff from Facilities Management and a few outlying staff will now be returned to regular hours of work. There will be no further COVID furloughs or work schedule reductions as a result of this decision. 

Career Services is undergoing a restructuring, and as a result, one full time and two part time in scope positions have been abolished. Four additional in scope positions will be abolished at the end of January.
  Four new in scope positions were posted prior to the holidays and there will be several more in scope positions posted once finalized/approved in the coming  weeks. Watch the job board for opportunities.

Negotiations between the MRSA and Board of Governors (BoG) is currently scheduled to commence January 13, however depending on any further directives from AHS, this may be further delayed and we will relay any further decisions to you at our January 27 Coffee Chat.

Treasurer's Report

Welcome back everyone. Here is hoping you all had a restful and restorative break.

Here are the latest happenings from the Audit and Finance committee...

  1. We finalized the purchase of a $50,000 GIC with the surplus from 2019-20 financial year. The GIC is a one year non-redeemable fixed term. We chose the 1 year short term investment instrument to ensure funds are available if needed. More of the Association’s GICs are coming due in the new year which will trigger a review of our investment practices to ensure we are getting the best value for our money.

  1. We are continuing the work of moving the EDT database to MyMRU which brings it into the MRU servers and all that entails including higher levels of security - firewall, backups, avoiding “guessable” PINs etc. The database will then also be part of a single sign on. This will be moving forward as a joint project with the EDT committee.

  1. The Association's executive liability insurance premium increased by 16% or $347. This is due in part to the “increase in frequency and severity of these types of claims” however our insurance broker felt that our current provider is still the best value.

  1. Our move to ensure the association is compliant with the Personal Information Protection Act (PIPA) continues. At the end of November the Executive received training on the Association’s responsibilities when it comes to protecting the member’s personal information. The next step includes a review of all personal information collection points to ensure we are collecting personal information in accordance with PIPA. 

  1. Here is a summary of the status of  Audit and Finance committee priorities as approved by the MRSA Executive in September 2020:

  • Dues Structure - Resolved as of Sept 25, 2020
  • EDT Database moving over to MyMRU - Ongoing 
  • EDT EI & CPP taxable benefit payments review - To be addressed in 2021
  • Insurance Review - Resolved Sept 15, 2020
  • Renew Association’s Lease Agreement with MRU - Resolved Oct 27, 2020
  • Finance Policy in collaboration with the Governance Committee - Submitted December 2020
  • Internal Controls review including PIPA Compliance Audit - Ongoing

 A final word of wisdom from Sam Ewing (whoever that is)...

Inflation is when you pay fifteen dollars for the ten-dollar haircut you used to get for five dollars when you had hair.

MRSA Office Closure Notice

In keeping with guidelines from Alberta public health officials, the MRSA office is closed until further notice. During this time, MRSA operations continue as the Executive and Committees shift to working remotely.

January Crossword Puzzle Contest

Link to the Social Commitee’s Crossword Puzzle. When you click on this link it will ask you to make a copy.  This copy will save in your: My Drive folder in Google Drive.  Once you have completed the crossword puzzle, then please make sure you share your copy with Charissa Hovdebo chovdebo@mtroyal.ca, the Social Committee Chair.  By sharing it, you are entering the contest.  Complete the puzzle correctly and we will enter your name in a draw to win a $20.00 e-gift card.

Let's kick 2020 to the curb!  

Do you make New Year’s Resolutions and then falter part way through the year? Your sensitive documents may be accessible by the whole campus.

IT Services has become aware that there are many documents on the Google Drive that are being shared with the whole campus when they shouldn't. For more information on how to avoid accidentally sharing a private document with the entire Mount Royal campus, please read Check the sharing permissions on your files stored on the Google Drive
 

Online Ergonomic Assessments Available

If you are working from home and are having difficulty setting up your workstation to be ergonomically comfortable, reach out to Environmental, Health & Safety (EHS@mtroyal.ca) for a virtual ergonomic assessment. Ergonomic hazards can often be solved with a few minor adjustments, and it's better to catch concerns before they become significant issues.
